We currently collect and process the following information:
Committee Members – names, addresses, email addresses, phone numbers and D.O.B
Trustees - names, addresses, email addresses, phone numbers and D.O.B
Hirers - names, addresses, email addresses and phone numbers
Committee members and Trustees are elected at our AGM

Most of the personal information we process is provided to us directly by you for one of the following reasons:
To contact you for the running of our organisation.
To discuss internal information
Hirers – for contact only
We use the information that you have given us in order to run our business efficiently
We may share this information with The Charity Commission
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting the Management Committee
(b) We have a legal obligation.
(c) We need it to perform a public task.
The personal information we collect is supplied by you when you become a member of our organization or if you enquire to hire our facility.
We need to collect your information so we can contact you in different ways.
As a registered charity we have a lawful basis to collect and hold your information.
As Trustees are responsible to the Charity Commission your information will be passed to them and updated yearly.
You have the right to withdraw your consent at any time by contacting the Management Committee.
​How we store your personal information
Your information is securely stored.
Your information is stored on the managements systems and is assessable by the Management Committee.
The purpose is for contact of all committee members.
For Trustees we have an obligation to the Charity Commission.
For Hirers our booking agent stores your information and deletes it as soon as possible after your event. This is normally paper copies.
We keep your names, addresses, email addresses and phone numbers for as long as you are a Trustee or Committee Member. We will then dispose your information by deleting from the management systems.
Your data protection rights
Under data protection law, you have rights including:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

About GDPR
The General Data Protection Regulation (GDPR) aims to protect the fundamental right to privacy and the protection of the personal data of European Union (EU) citizens. UKGDPR is the version of this regulation for the United Kingdom.

The UK/US data bridge
In UKGDPR/`GDPR data can only be transferred out of the UK to countries within the EU or approved by the EU. In the case of The United States of America though, data can only be transferred if the receiving entity has been registered and approved to do so.
​
From 12 October 2023, businesses in the UK could start to transfer personal data to US organisations certified to the “UK Extension to the EU-US Data Privacy Framework” (UK Extension) under Article 45 of the UK General Data Protection Regulation (GDPR) without the need for further safeguards such as those set out in Articles 46 and 49 of the UK GDPR. UK organisations should be mindful of the need to update privacy policies and document their own processing activities as necessary to reflect any changes in how they transfer personal data to the US.
The EU-US Data Privacy Framework (DPF) is a bespoke, opt-in certification scheme for US organisations, enforced by the Federal Trade Commission (FTC) and Department of Transportation (DoT), and administered by the Department of Commerce (DoC).
The Data Privacy Framework includes a set of enforceable principles and requirements that must be certified to, and complied with, in order for organisations to be able to join the Data Privacy Framework. These principles take the form of commitments to data protection and govern how an organisation uses, collects and discloses personal data. US organisations who have been certified to the Data Privacy Framework can opt in to receiving data from the UK.
Once a US organisation has been certified and is publicly placed onto the Data Privacy Framework List (DPF List) on the DPF website they can receive UK personal data through a UK-US data bridge.

This website is built using a company called Wix. Wix has signed up to and agrees to abide by the UK Extension to the EU-US Data Privacy Framework.
As a customer of Wix, we have therefore used their cookie banner generator and privacy policy option for this website. Below we now list Wix's information on their Privacy and Data statements:-
